Privacy Policy

1. Who we are

This website is operated by Covent Group Travel, a transport company based in London E10 (“we”, “us”, “our”). We are the data controller for personal data collected through this website. You can contact us about this policy or your personal data at info@coventgroupttravel.co.uk.

2. The personal data we collect

When you submit a booking enquiry or contact form, we may collect:

  • Your name, email address and telephone number.
  • Journey details, such as pickup and drop-off addresses, additional stops, dates, times, passenger numbers, luggage details, flight or train information and any special requests.
  • Your company name, if you choose to provide it.
  • Any itinerary or supporting file you choose to upload.
  • The content of any message you send us.

Please only include information about other passengers where you have their agreement to share it, and avoid sending sensitive information that is not needed for the journey. If you need to tell us about accessibility or medical requirements so we can plan a journey, please share only what is necessary.

Our web server and hosting provider may also process technical information such as IP addresses and browser details for security and to keep the website working.

3. How we use your data

We use the personal data you provide to:

  • Respond to your enquiry and prepare a quotation.
  • Arrange, confirm and carry out any journey you book.
  • Contact you about your enquiry or booking, including changes.
  • Keep records for accounting, legal and administrative purposes.
  • Protect the website against misuse and spam.

We do not sell your personal data, and we do not use enquiry details to send marketing unless you have separately agreed to receive it.

4. Our lawful bases

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we rely on:

  • Steps prior to a contract and performance of a contract: to respond to your enquiry and provide any booked journey.
  • Legitimate interests: to run our business, keep records, and keep the website secure.
  • Legal obligation: where we must keep records, for example for tax purposes.
  • Consent: for any optional analytics cookies or marketing, where these are used.

5. Where your data is stored

Enquiries submitted through this website are stored in our WordPress website database and may also be sent to our business email account so the team can respond. Uploaded files are stored on our web hosting. Access is limited to people who need it to handle enquiries and bookings.

6. Maps and address lookups

Our booking form uses maps to help you choose locations and to estimate routes. Map tiles are provided by OpenStreetMap and displayed using the Leaflet library. When you search for an address, the text you type is sent to the Nominatim geocoding service, and route estimates are requested from the OSRM routing service. These services receive the search text or coordinates and your IP address as part of the request. Please refer to the OpenStreetMap Foundation’s privacy policy for information on how they handle this data.

7. Sharing your data

We share personal data only where necessary, for example with the driver allocated to your journey, with our website hosting and email providers, with professional advisers, or where required by law. Where we use service providers, we expect them to protect your data appropriately.

8. International transfers

Some service providers may process data outside the UK. Where this happens, we aim to ensure appropriate safeguards are in place as required by UK data protection law.

9. How long we keep your data

We keep enquiry details for as long as needed to respond and, if no booking follows, for a reasonable period afterwards in case you return to us. Booking records are kept for as long as needed for accounting, legal and insurance purposes. Data is then deleted or anonymised.

10. Your rights

You have the right to request access to your personal data, to ask for it to be corrected or erased, to restrict or object to its processing, to data portability, and to withdraw consent where we rely on it. To make a request, email info@coventgroupttravel.co.uk. If you are not satisfied with our response, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

11. Cookies

Information about cookies used on this website is set out in our Cookie Policy.

12. Changes to this policy

We may update this policy from time to time. The current version will always be published on this page.
